01Information we collect

We collect information you provide when you contact us, submit a player request or event, join an activity, comment on the bulletin board, subscribe to alerts, apply for a scholarship, volunteer, register, become a member, or donate.

• Contact and participation details, such as your name, email address, phone number, tennis rating, playing preferences, registration information, and the details you include in a request or application.
• Community content, such as event descriptions, player requests, comments, and participation information you choose to submit.
• Communication records, such as messages, selected SMS topics, consent and opt-out records, and message delivery information.
• Donation, membership, and registration records provided by our payment and registration services, including Zeffy and PayPal. Payment details are collected by those services; we do not collect or store full payment card numbers on this website.
• Technical information, such as IP address, browser and device information, pages visited, approximate location, and service or security logs. Authorized administrative accounts also have account and authentication records.

02How we use information

Some submitted requests may be processed by automated tools to interpret, categorize, format, or help review them. Avoid including sensitive personal information that is unnecessary for your request.

• Operate the website, community bulletin board, tennis programs, events, registrations, membership, and scholarship activities.
• Coordinate participation and connect players or organizers in response to their requests.
• Send requested updates, receipts, support responses, and SMS alerts consistent with your consent and selected interests.
• Maintain accurate records, honor communication preferences, and prevent fraud, abuse, or unauthorized access.
• Understand website use and improve the clarity, reliability, and usefulness of our services.

03Public community posts

The bulletin board and event pages are public. Names, playing information, comments, event details, and contact information you include in public content may be visible to other visitors and search engines. Share only information you are comfortable making public and have permission to disclose.

Keep private preference links, organizer management links, and account credentials private. To request correction or removal of content you submitted, contact us. We may need to verify that you own the content or account; removal from our website cannot remove copies already saved by others.

04SMS consent and mobile information

GMKETL Tennis Alerts is an optional text messaging program for tennis opportunities, player requests, events, clinics, tournaments, and related service updates. We use your mobile number, topic preferences, and consent records to operate the program and honor your choices.

Providing a phone number for a donation, registration, membership, or email list does not by itself give permission for SMS marketing. Contact records imported from Zeffy or another list require separate SMS consent before enrollment in program announcements.

We do not sell or rent mobile phone numbers. Mobile information, SMS opt-in data, and consent records will not be shared with third parties or affiliates for their own marketing or promotional purposes. We may disclose the information to messaging providers, carriers, and other service providers only as needed to operate our program on our behalf, or when legally required. These service disclosures do not authorize another organization's text marketing.

Reply STOP to the number sending our program messages to unsubscribe. You may receive one confirmation of your opt-out. Reply HELP for assistance or email gmketl@gmketl.org. Message frequency varies with your selected topics and community activity; message and data rates may apply.

Unsubscribing from SMS does not automatically remove a public post, cancel an event registration, or delete donation records. We may retain a limited opt-out record so we can continue honoring your request.

05When we share information

We do not sell personal information. We share information when needed to provide the service you request, including with organizers coordinating your participation and providers supporting hosting, storage, authentication, messaging, analytics, registration, and payments. Providers receive information needed for their role.

We may also disclose information to meet legal obligations, respond to valid legal requests, protect participants and our services, or prevent fraud or abuse. The restrictions on mobile information and SMS consent in the section above apply to all sharing described in this policy.

Zeffy, PayPal, linked websites, and independent event organizers have their own privacy practices. Review their policies before supplying information through their services.

06Cookies and analytics

The website uses browser storage and similar technologies for functions such as sign-in, session preferences, and analytics. We use Google Analytics to understand how visitors use the website. These tools can process device information, usage information, and online identifiers.

You can manage cookies and site storage through your browser settings and use Google's Analytics opt-out tool. Blocking storage or scripts may affect some website functions. External registration, payment, or social media services may use their own cookies when you visit them.

07Retention and security

We keep information for as long as reasonably needed to provide services, maintain donation and program records, document consent, honor opt-outs, resolve disputes, and meet legal or accounting obligations. Different records have different retention needs; copies may remain temporarily in backups or service logs.

We use reasonable administrative and technical safeguards to protect information. No website, storage system, or communication channel can guarantee complete security. Please do not send passwords, payment card details, or other sensitive information in community posts or text messages.

08Your choices and requests

You can ask us to access, correct, or delete your personal information by emailing gmketl@gmketl.org. We may verify your identity before acting. We will address requests consistent with applicable law and may retain records needed for legal obligations, security, program administration, or honoring an opt-out.

You can stop SMS alerts by replying STOP and manage available topic preferences using the instructions or private preference link provided by the program. You can request changes to other communications by contacting us. Your rights may vary depending on where you live.

09Children and family participation

Our website is a general community service and is not directed to children under 13. We do not knowingly collect personal information online from children under 13. A parent or guardian should handle registrations or inquiries for a young child and provide only the information needed for that activity.

If you believe a child under 13 has supplied personal information directly through our website, contact us so we can review and remove it as appropriate. Minors should participate in activities and communications with their parent or guardian's permission.

10Updates and contact

We may update this policy as our services change. We will publish the updated version and effective date on this page. If a new use requires additional consent, we will request it before that use.
